CVIRMS Informatics Pvt. Ltd. (“CVIRMS”, “we”, “our”, “us”) is committed to protecting the privacy and personal data of users of the CVIRMS Mobile Application (“App”). This Privacy Policy explains how personal data is collected, used, stored, shared, and protected when accommodation providers (hotels, lodges, PGs, hostels, guest houses) use the App.

This Policy is applicable across India and complies with the Digital Personal Data Protection Act, 2023 (DPDP Act) and other applicable Indian laws.

2. Scope of This Policy

  • Accommodation owners, managers, and authorized staff using the CVIRMS App
  • Personal data of guests collected for lawful visitor registration purposes

This Policy does not apply to third-party websites or applications linked from the App.

3. Definitions (As per DPDP Act)

  • Personal Data: Any data about an individual that can identify them
  • Data Principal: The individual to whom the personal data relates (Guest)
  • Data Fiduciary: The authority determining the purpose of processing
  • Data Processor: Entity processing data on behalf of the Data Fiduciary

For the purposes of this App:
• Concerned Police Authority is the Data Fiduciary
• CVIRMS acts as a Data Processor / Technology Service Provider

4. Personal Data We Collect

4.1 Accommodation Provider Data
  • Name of establishment
  • Owner / manager name
  • Mobile number and email address
  • Login credentials
  • Location details
4.2 Guest Data (Entered by Accommodation Provider)
  • Guest name
  • Mobile number
  • Address
  • Government ID details (Aadhaar / Passport / Voter ID / permitted IDs)
  • Check-in and check-out details

⚠ No biometric data is collected.

5. Purpose of Data Collection

  • Lawful digital guest registration
  • Public safety, crime prevention, and verification
  • Compliance with Police and Government requirements
  • Generating alerts related to suspects / wanted persons (as permitted)
  • System security, audit, and operational integrity

Data is not used for advertising or commercial profiling.

6. Lawful Basis for Processing

  • Consent obtained by accommodation providers from guests
  • Legal obligation under applicable laws and Police directives

7. Data Sharing & Disclosure

  • Authorized Police and law enforcement agencies
  • Government authorities as required by law
  • Authorized CVIRMS personnel for system operations

8. Data Storage & Retention

Data is stored on secure servers located in India or as permitted by law. Data is retained only for the period required by legal obligations, Police directives, and operational necessity, after which it is securely deleted or anonymized.

Despite safeguards, no system is 100% secure.

12. Children’s Data

The App is not intended for children. Data relating to minors must be collected strictly in accordance with applicable laws and guardian consent.

13. Third-Party Services

The App may use third-party services for hosting, document verification, SMS/notification delivery, and security monitoring. All providers are contractually bound to data protection obligations.

14. Changes to This Policy

This Policy may be updated due to legal changes, Government or Police directives, or operational improvements. Updated versions will be published in the App and App Stores.
